Policy
Berry email is used as a means of official correspondence. All students are expected to check their email at least once a day.
Email accounts remain active for four years. If you withdraw or graduate earlier, your account will be deactivated at the time that you leave.
Maintenance Responsibility
Your email box has a maximum capacity of 40MB of storage space. You will receive a warning when capacity reaches 35MB. If your email box reaches the 40MB limit, then it will no longer be able to send or receive any new mail. You will need to delete some old messages in order to create free space in your account to receive any new email.
If you are using Outlook and receive a warning message that the email box is nearing capacity, even though it appears that there aren't many emails, you can fix this very easily. Delete all unneeded items from the “Drafts”, "Junk E-mail" and "Sent Items" folders. If there are emails with attachments, save the attachments and delete the email when possible. Even though an email item is deleted, Outlook holds a copy in the "Deleted Items" folder. Delete all unneeded items from this folder. Remember to frequently delete the email from the "Deleted Items" folder. Periodic housekeeping of these email folders will help keep the capacity warning messages to a minimum.
Inbound email attachments are limited to a maximum size of 12MB. Outbound email attachments are limited, by Berry, to a maximum size of 12MB, however there is no guarantee that the receiving mail server will accept it.
Password Expirations and Reset Procedures
Your password for the Berry email system is valid for one year from the time you last changed it. If your password is not changed at least once every 365 days, it will expire and you will become locked out of your email account until a new password is set. If you are using the online, "web access" version at https://mail.berry.edu, then you should begin to receive warning notices 14 days before your password expires. Third party e-mail programs, such as Microsoft Outlook, Outlook Express and Entourage, do not display these notices correctly and you will not receive any warnings before your password expires.
Instructions for changing your Berry E-mail password:
- Go to your email account at https://mail.berry.edu and enter your username and password.
- From the menu panel (at the bottom of the left window panel), choose "Options".
- In the main window, scroll to the bottom of the page and click the button to "Change Password". This will open another window.
- Fill in the appropriate blanks as follows:
| Domain: ad Account: your username Old Password: your old password New Password: a new password you've never used before (at least 6 alpha-numeric characters long - no spaces) Confirm New Password: retype new password (NOTE: passwords are case-sensitive, so be aware if the caps-lock is on or off) |
NOTE: If you do not have a field for Domain, then use "ad\" in front of your username in the Account field. For example, if your name is John Smith, would enter: ad\jsmith in the account field. Make sure to use a "\" and not a "/" or you will get an error. |
